**MEETING POLICY **

MEETING MINUTES: July 2010

  1. VOLUNTEER SUPPORT TECH RECRUIT STATUS – 13 VST recruits are now in class at the Fire Training Center and are eligible to ride along on any FS-8 duty night. The following training guidelines should be observed when recruit VST’s are riding:

    1. The new recruits are now authorized to "ride along" for any, or any portion of a scheduled duty night. They have a roster and schedule, and are to notify the crew that they will be participating.
    2. TRAINING should now become a part of any duty night with a new tech riding.  Training begins with tasks as simple as showing how to check-off the unit or operate a particular piece of equipment.
    3. If you are a Crew Member or Leader, you are to be listed as the Instructor for the new tech. on his/her Time and Training Sheet.
    4. Crew Leaders and Members will also record any training provided as "Training" on their Time and Training Sheet.
    5. The Instructor for any Crew Member will be the Crew Leader. 
    6. The Instructor for any Crew Leader will be David Burket IF he is present, and if NOT present, it will be B-30
      (As Manager of the program, and maintainer of the Individual Training records).
  2. SUPPORT 8 “IN THE NEWS” -  FS-8 has been shown on the news 3 times within the past week performing at various emergency incidents.  A reminder that at anytime, anyplace, your actions may be under scrutiny.
  3. UNDELIVERABLE E-MAIL – There are 4 ACTIVE Tech E-mails that have been in-activated.  Contact COMIT Help Desk at 385-4699 to reset e-mail addresses.  IF you are requested to provide  supervisor authorization, contact B-30.
  4. BOARD OF DIRECTORS MEETING – Items discussed include:
    1. REHAB Unit implementation - Equipment upgrades to FS-8 in place
    2. Supply Driver Program – Ross Guins meeting with Chief Austin
    3. Fund Drive Mail-out - Should be taking place at this time
    4. Blanket Insurance Policy – Do we want/need a policy to cover additional medical costs that the City will not cover?  B-30 will do further research.
    5. Brush Truck Upgrade – Funds allocated to purchase an additional 600’of forestry hose and realign hose placement on the truck.
    6. Uniforms – OVFD level of involvement with uniform purchases.  Funds allocated to purchase some items (as noted in these minutes).
    7. Face Book Entries – Be careful what you post on Department (OVFD/VBFD) Facebook pages, as ANYONE can view them.
  5. RETURN of ISSUED EQUIPMENT – The City has issued a memorandum that conflicts with existing policy concerning issued City equipment.  The current procedures requesting the return of equipment, PPE, etc to OVFD at Company 8 remain in effect, and WE will return the equipment, etc. to Resource Management for the individual.  IF the individual chooses to return the equipment to RM, they must notify B-30 that this has been accomplished for documentation purposes.  
  6. UNIFORMS – With the loss of a Volunteer uniform allowance, guidelines have been established for the replacement of necessary uniform parts:
    1. OVFD will obtain, and have printed additional T-Shirts (up to 5 dozen) once a general feeling for required sizes has been obtained.  The shirts will be identical to the ones provided by the City.  SPEC RESCUE HAS VOLUNTEERED TO DONATE 5 DOZ SHIRTS OF VARIOUS SIZES.
    2. Volunteers requiring BDU (or other) pants may purchase them from any source for a price not to exceed that specified in the City’s uniform contract.  NOTE! Authorization to purchase BDU pants must be obtained from B-30 PRIOR to purchase in order to be reimbursed.
    3. Job Shirts and Polo Shirts will be provided on a case-by-case, as necessary basis.
  7. DUTY CREW RESPONSIBILITIES –  Include ensuring the cleanliness of the Volunteer Bunkroom.  Please check for gear adrift and trash before leaving each morning.  Our Thanks!
  8. UPCOMING EVENTS – Phoebus Day Parade, SAT, 09 OCT 2010 in Hampton.  Brush 8 and Support 8 will participate.  Hampton VFD has extended an invitation to attend the parade and festival.  Guinea Jubilee, SAT, 25 SEP, and West Point Parade, Fri, 02 Oct.  Let Steve Kennedy know if you desire to be part of any of the crews attending.  We need a good showing to retain the rotating trophy we now have.
